About the organisation

Innoceana is a non profit organization founded in Spain, Costa Rica and California 501(c)(3). It comprises a team of marine scientists, biologists and engineers along with other disciplines fighting to preserve the marine ecosystems. Innoceana empowers coastal communities to create a global network of marine conservation and education centres to preserve the ocean for future generations.

About the role

The Executive Assistant will work directly with the Executive Director and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated and capable of managing their workload and prioritizing tasks in a fast-paced non-profit environment. The Executive Assistant will be a crucial contact hub for the executive team, the larger organization, and external partners, and will help Innoceana achieve its mission of protecting the Ocean through research, education, and awareness.

4 hours per day – Monday-Thursday (in person office-coworking space) and 2 hours Friday (remote)

Executive Assistant Responsibilities:
  • Organize the Executive Director’s schedule and occasionally other core staff members
  • Coordinate speaking engagements, conferences, meetings, Board events, and travel for the Executive Director.
  • Schedule travel arrangements and occasionally other core staff members.
  • Provide administrative and clerical support for the Executive Director and executive team.
  • Support in managing the overall office, including welcoming visitors, directing calls, providing instructions and reminders, distributing correspondence, and handling shipping and receiving.
  • Purchase supplies, catering, conferences, subscriptions, rentals, memberships, etc.

Requirements

  • Bilingual (Spanish and English)
  • Strong communication, analytical thinking, and organizational skills
  • Clear, direct, and succinct writer
  • Able to manage a constantly changing work environment and collaborate with remote team members
  • BA Degree, non-profit experience, or a related field is a plus

Salary and benefits

  • $600 USD per month
  • Some remote working
